Creating and Managing Sales Agents

A sales agent is one of your customers who has been given permission to place orders in other customers' names. They are not staff, they have no admin access, and they do not occupy a staff seat. This is the core idea of the app: the people who take orders by phone or in the field work in the same storefront your customers use, rather than in your Shopify admin.

Who Can Be an Agent

Any customer account in your shop can be designated as a sales agent. In practice this is usually a member of your sales team — an inside sales rep, a field rep, or a branch employee — who has their own customer account in your shop. If the person does not have a customer account yet, create one in your Shopify admin first, then return to the app to designate them. An agent keeps their own account. They can still place orders for themselves, and their own order history stays separate from the orders they place for others.

Appointing an Agent

Open the app's home page and search for the customer. Select them and designate them as a sales agent. The change takes effect immediately — no theme change or redeploy is involved. Immediately afterwards, set their permissions. A newly appointed agent with no permissions configured cannot act for anyone, which is the safe default. What Changes for That Person

The next time they sign in to your storefront, they see the session bar at the top of the page. Nothing else about their experience changes until they start a session. When they select a customer and record consent, prices, catalog and delivery locations switch to that customer's. When they end the session, everything returns to their own account. They never see your admin, your other merchants' data, or any customer they have not been given access to.

Removing an Agent

Remove the designation in the app and the person reverts to being an ordinary customer at once. The session bar stops appearing for them and any active session ends. Their past activity is not erased. Orders they placed remain assigned to the customers they were placed for, and the consent records on those customers still name them as the responsible agent. That history is deliberately durable — it is what makes the audit trail meaningful. Removing an agent is the right step when someone leaves your company. It takes effect immediately and does not require touching their customer account or your staff permissions.

Practical Advice

Give each rep their own agent account rather than sharing one between a team. Shared accounts make the consent record meaningless: you can no longer tell which person acted for which customer, which is precisely the question the record exists to answer. Review your agent list when your team changes. It is a small list and rarely looked at, which makes it easy for a departed employee's access to persist longer than it should.
